Privacy Policy

1. What this covers

This policy explains what ClosingVista collects, why, and the control you have over it. It covers closingvista.com, the agent and studio workspaces, and the public listing pages we host. Questions: hello@closingvista.com.

2. What we collect

• Account details — your name, email, and a hashed password (we can't read your password).
• The content you bring — listing facts, photos, video, documents, and the client and lead contacts you add.
• Communications through the Service — emails you send from the workspace, messages from your listing pages, and — where you enable the AI phone line — call transcripts and recordings.
• Usage and analytics — how the workspace and your public listing pages are used (page views, interactions). Listing-page analytics exist to be shown back to you, the listing's agent.
• Billing — payments are processed by Stripe; we receive transaction status, never your full card number.

3. How we use it

We use your information to run the Service: to host your listings, generate the drafts you ask for, send the messages you direct, show you your own analytics, bill you, support you, and keep the Service secure. AI generation uses the facts and media you provide; feedback you give (such as rating a generated video) improves your own future results.

4. What we never do

We do not sell your personal information, and we don't share it with third-party advertising networks. Analytics on our pages are collected by our own platform for product operation, not by ad trackers.

5. Your clients' information

Agents store their clients' and leads' details (names, contact info, notes) in the workspace. That data belongs to the agent's business — we process it only to provide the Service to that agent, and their broker-admin where they're part of a brokerage. If you're a client or lead of an agent who uses ClosingVista and want your details corrected or removed, the fastest path is your agent; you can also write to us at hello@closingvista.com and we'll help.

6. Who we share with

• Service providers that run under our instructions — cloud hosting and storage (including Google Cloud), payment processing (Stripe), email and telephony delivery, and the AI infrastructure that powers generation.
• Your brokerage — if your account belongs to a brokerage org, your broker-admin sees office-level views of listings, production, and lead responsiveness.
• The public, where you direct — the listing pages, emails, and marketing you choose to publish.
• Legal requirements — if the law compels us, and then only what's required.

7. Cookies

We use a session cookie to keep you signed in and first-party cookies/local storage for product function (like remembering your workspace preferences). We don't use third-party advertising cookies.

8. Security

Traffic is encrypted in transit (TLS), passwords are stored only as salted hashes, access to customer data inside ClosingVista is restricted, and the Service runs behind hardened security headers, request filtering, and rate limiting. No system is perfectly secure — if we learn of a breach affecting your data, we'll notify you as the law requires.

9. Your data, your controls

• Export — download a copy of your account data any time from Account settings.
• Delete — permanently delete your account and its data from Account settings (export first; deletion is not reversible).
• Correct — edit your profile, listings, and contacts directly in the workspace.

California residents: you have the right to know what personal information we hold about you, to request its deletion, and to not be discriminated against for exercising those rights. We don't sell personal information, so there's nothing to opt out of selling. To exercise any of these rights, use the controls above or email hello@closingvista.com.

10. Retention

We keep your data while your account is active so the Service works. When you delete your account, we delete the data the Service holds for it; residual copies in backups age out on the backup cycle. We may retain what the law requires us to keep (like billing records) for as long as it requires.

11. Children

The Service is a professional tool, not directed to children, and we don't knowingly collect personal information from anyone under 13. If you believe a child has given us personal information, contact us and we'll delete it.
